This policy explains what personal data Kanak Accounting Solutions (OPC) Private Limited (“we”, “Kanak Solutions”) collects through this website and client portal, why we collect it, and the choices you have. It is written to meet the Information Technology Act, 2000 and its rules and the Digital Personal Data Protection Act, 2023.

1. Data we collect and why

  • Contact details (name, mobile number, email, business name) – to answer enquiries, create your account and send service updates and due-date reminders.
  • Business and tax identifiers (PAN, GSTIN, TAN, CIN, address, type of entity) – to prepare and file the returns and forms you order.
  • Financial documents you upload (bills, bank statements, ledgers, salary data, notices, identity and address proofs) – only to carry out the service you ordered.
  • Payment references (invoice, amount, UPI or bank reference number) – to match your payment and keep accounts. We do not collect card numbers, UPI PINs or net-banking passwords.
  • Technical data (IP address, login time, pages requested) – for security, fraud prevention and audit logs.

We do not ask for government portal passwords through this website. Please do not upload an unmasked Aadhaar; hide the first eight digits before uploading.

2. Consent

We process your data on the basis of the consent you give when you submit a form or create an account, and to perform the service you have ordered. You may withdraw consent at any time (see section 7); we will then stop processing except where the law requires us to keep records.

3. Who we share it with

We do not sell your data. It is shared only with (a) government portals and authorities, as needed for the filing you instruct; (b) our hosting and email providers, who process it on our behalf; (c) an independent professional such as your auditor, only on your instruction; and (d) authorities when the law requires it.

4. Cookies

We use one essential session cookie to keep you logged in and to remember your language choice. We do not use advertising or tracking cookies.

5. Security

Passwords are stored as one-way hashes. Uploaded documents are stored outside the public web folder and can be downloaded only by you and our authorised staff. Access is role-based and downloads are logged. Connections are encrypted with HTTPS. No system is perfectly secure; if a breach affects your personal data we will inform you and the Data Protection Board as the law requires.

6. Retention

We keep your working papers and filings for as long as you are a client and for up to eight years afterwards, because tax and company laws require records for that period. Enquiry details that do not lead to an engagement are deleted within twelve months. After these periods the data is erased.

7. Your rights

You may ask us for a summary of the personal data we hold, ask us to correct or update it, ask us to erase it (subject to legal retention), withdraw consent, and nominate another person to exercise these rights. Clients can raise these requests from Business profile in the portal. Anyone can write to the Grievance Officer below.

8. Children

Our services are meant for adults carrying on business or filing their own returns. We do not knowingly collect data from persons under 18.

We acknowledge complaints within 48 hours and resolve them within one month. If you are not satisfied, you may approach the Data Protection Board of India.

10. Changes

We will post any change to this policy on this page and, where the change is significant, notify clients by email.
